Getting Started
One of the best ways for your client to keep in touch with customers is through e-mail. Of course, signing up individuals one by one can be time consuming, especially if your client has a lot of customers!
DMXReady’s Mailing List Manager allows website visitors to sign themselves to your mailing list. Whether your client provides a regular e-newsletter, or periodically wants to keep customers abreast of new products and services, Mailing List Manager will automatically organize and operate your e-mail system. All your client has to do is write the e-mail and send it off!
Already have a mailing list? No problem. Names and e-mail addresses can be entered or imported into Mailing List Manager manually too.
Creating A Mailing List Page
Set Preferences
Before Mailing List Manager can automatically receive new subscribers and send e-mails, you must define your preferences.
- Open the admin.asp page through any standard browser: http://www.yourdomain.com/admin/MailingListManager/admin.asp. You will note a table with the following headings: Date Added, Member, Update Address, Activated, Delete, and Metrics.
- Above this table there are three links: Show Member List, Set Preferences, and Send Email. Click on Set Preferences.
- Fill in the corresponding text boxes with your website domain, test e-mail address, return address, confirmation messages, etc.
- When you have finished filling in the information, click Set Preferences. All information will be uploaded to your server.
Adding an Address
Once Mailing List Manager is installed into your website, subscribers will be able to add their names to the list automatically. However, if you already have a mailing list started, and you want to add it to Mailing List Manager, you can do this on the first Admin Page.- Directly above the main table there is a box titled "Add Email Address".
- Fill in the text box with the e-mail address, one at a time.
- Click on the Add Email Address button. The page will refresh and a confirmation will appear to the right of this button stating that the e-mail address has been added.
- Repeat this process until all addresses are included in Mailing List Manager.
Managing Addresses
To remove an address from the Mailing List Manager (Note that subscribers to your mailing list can also unsubscribe themselves automatically, should they choose to.):
- Click on the checkbox in the Delete column next to the appropriate e-mail address.
- Click on the Update button at the bottom left of the page.
To Deactivate an address (without deleting it):
- Click on the 'No' radio button in the Activate column next to the appropriate e-mail address.
- Click on the Update button at the bottom left of the page.
Sending E-mail Messages to Subscribers
You can send two types of e-mail messages, standard text messages and HTML-formatted messages. The type of message that you send will depend on the content. If you wish to send formatted text with pictures and graphics, use the HTML mode. Otherwise, text mode will do.
Create a Message
- On the Admin Page, click on the Send Email link at the top right.
- By default, the text message page will appear. If this is the correct mode for your e-mail message, fill in the appropriate text boxes with the subject, message, etc.
- You can test the message by clicking the Send Test Email button at the bottom of the message page. The current e-mail message will be sent to the test address that you specified in the Preferences page.
- Once you have received the message and are happy with the results, click the Send to All Members button. The message will be sent to every subscriber on your list that is marked as Activated. Deactivated members will not receive the message.
If you wish to send an HTML-formatted message:
- On the Admin Page, click on the Send Email link at the top right.
- Above the text message form, click on the Send HTML Message with WYSIWYG Editor link.
- Enter the subject, etc. in the appropriate boxes.
- Place your message in the main box. You can format the size, font, style, colour, etc. of the message just as you would in a regular wordprocessing program.
- Pictures and graphics can be drag-and-dropped or cut and pasted into the message area, and formated accordingly.
- You can also include straight HTML code from a HTML editor (like Dreamweaver MX) by pressing the View HTML button, then cutting and pasting the code directly into the message. Press the same button (now labelled View WSYISYG) to see the result.
- You can test the message by clicking the Send Test Email button at the bottom of the message page. The current e-mail message will be sent to the address that you specified in the Preferences page.
- Once you have received the message and are happy with the results, click the Send to All Members button. The message will be sent to every subscriber on your list that is marked as Activated. Deactivated members will not receive the message.
Adding a Table (in HTML-Formatted Mode)
Mailing List Manager does not automatically generate tables. Again, this is to keep the interface simple and user-friendly so that anyone who can write and send an e-mail message can edit the site content.
However, tables can easily be imported into Mailing List Manager using two methods. First, design the table and edit its format using any program that is able to generate tables (such as Dreamweaver or Word). Then, simply cut and paste the table into the WSYIWYG window. From here, you can add, delete, and edit content just as you would any non-tabular text. You can even add pictures to any individual cells, and create links as well.
The second method is to design the table in Dreamweaver MX and simply cut and paste the HTML code into the HTML view of the Mailing List Manager. Again, all of the table’s contents can be updated using either the WSYIWYG view or the HTML view.
Adding a Link (in HTML-Formatted Mode)
For Text: Simply input the link address into the Link Box in the Toolbar, highlight the text that you want linked, and click the Add button.
For Image: Input the link address into the Link Box in the Toolbar, click on the image that you want linked, and click the Add button.
Acceptable links are: http://, mailto:, ftp://, and https://
DMXReady Designer's Tip: COPY AND PASTE Adding links is much easier to do if you cut and paste the link address into the Link Box. You can do this by visiting the page you want to link to, then copy the address listed in the Address box of your browser.
